What a Case Operations Audit Actually Finds
"Audit" is an overused word in this industry, usually attached to a sales call disguised as a diagnostic. So it is worth being specific about what a Case Operations Audit actually is, and is not.
It is not a questionnaire. It is not a demo of a platform with a discovery call bolted on the front. It is a structured, two-week look at your firm's real case data, producing baselines you can act on whether or not you ever work with us again.
What Gets Analysed
Five areas, in this order:
Lead, intake, qualification and follow-up conversion. Where leads come from, how many become signed cases, and where the drop-off actually happens in that chain — not where the firm assumes it happens.
Response time and follow-up completion. How long between a lead arriving and a human responding, and how consistently follow-up sequences actually get completed rather than started.
Records, demand and settlement cycle times. The time from signed case to records request, records to demand, and demand through to settlement. This is usually the most revealing number in the whole audit.
Deadline and critical-date workflow assessment. How statute-of-limitations and other critical dates are tracked, and whether that tracking depends on a person remembering rather than a system flagging.
Where case managers spend time on manual work. Not a guess — direct observation and interview data on what is actually eating the day.
Why Real Data Instead of a Questionnaire
A questionnaire tells you what people believe is happening. Case data tells you what is actually happening. The two are frequently different, and the gap between them is usually where the operational leaks are hiding.
That is why the audit works from your case management system directly — read access, historical intake and lead data, and around six stakeholder interviews at thirty minutes each to fill in the context numbers alone cannot provide.

The audit produces findings you can act on with or without us. Some firms take the report to their own team.
